Overview:

Provides supervision of the administrative section and assistance to Department Heads in carrying out their responsibilities. This is done through experience in administration, development and coordination of administrative products and concepts within an office environment.

 

JOB RELATIONS
SUPERVISION RECEIVED: Direct Supervision from the Wexford Regional Administrator
SUPERVISION EXERCISED: Staff Assistants, Radiology Technicians
RELATIONSHIPS: Works effectively with patients, medical and nursing staff, security staff at all levels, and administrative and support staff.



Responsibilities:
  1. Supervise operations of the HCU Administration Section.
  2. Supervise and train when necessary the staff assistant (s) assigned to the HCU Administration Section, assigning primary duties and maintaining an oversight of those duties to ensure timely and accurate work.
  3. Develop and manage a tracking program to assure timely renewal of required licenses, certifications, and/or registration of all HCU providers, both State and Contractor. Ensure the program allows for the timely reporting of any required documentation not on file.
  4. Develop methods, with assistance of other department heads, to oversee problem areas and provide solutions within the structure of the HCU operation.
  5. Develop a means to collect statistical information as requested or directed.
  6. Responsible for all aspects of administration within the Administration Section as indicated in this description.
  7. Responsible for forms development and coordinating the reproduction and supply of forms for the HCU. This does not include those forms required for the individual medical record as controlled by the Medical Records Director.
  8. Responsible for administrative file management and retrieval.
  9. Responsible for a process to ensure timely typing and distribution of correspondence and other required routine reporting.
  10. Maintenance of directive manuals and development of various HCU policy initiatives.
  11. Responsible for contract records as provided for in the various service contracts, i.e. hours, cost reports, employee records, etc.
  12. Assist department heads in management of the HCU operation through timely reporting and tracking of daily indicators and provide for retrieval, as needed, i.e. overtime, time-off, training hours, etc.


Qualifications:

 

ENVIRONMENTAL CONDITIONS
OFFICE: Standard medical setting in a correctional facility, which includes daily interfacing with inmates, correctional staff, and health care personnel.
TRAVEL: Minimal travel required.

 

EDUCATION/EXPERIENCE REQUIREMENTS
The following requirements list the minimum to qualify. An equivalent combination of education and experience may be accepted.

 

CERTIFICATION: Current CPR certification.


EXPERIENCE: Must be able to work with minimal supervision.  Possesses ability to develop administrative tools and concepts within an organization. Ability to use software programs to improve operations and increase efficiency within the administrative area. 1 year management experience preferred


EDUCATION High school graduate or equivalent.
